1.    Personal Assistant to the Vice- Chancellor

About the Job

A Personal Assistant to the Vice Chancellor is required to work in a busy 5 University environment, providing administrative support to the Vice- ;Chancellor in all matters. Excellent IT and communications skills, with excellent command of both written and spoken English and Kiswahili are essential as is the ability to work as a team member,

Working within a growing University and multicultural environment, the successful candidate will be expected to show a strong commitment to the progressive and innovative vision of the University through its strategic plan, as a unique development at academic and community levels. The individual must have the ability to make good judgment in various situations, working independently on various assignments from conception to completion. Must be able to work under pressure handlinga wide variety of activities and confidential matters with discretion.

Required Qualifications

•    Holder of at least Master's degree in Public/Business Administration, or Mass Communication, majoring in Corporate Management and/or Governance, Business management or equivalent, from a recognized higher learning institution.
•    Skills in IT including mastery of MS office (Word, Excel, Powerpoint, Keynote), adobe acrobat and others.

Working experience
•    At least four (4) years working experience in a similar position from a reputable institution.

Job Description
Job Purpose

•    To provide support to Vice-Chancellor, including co-ordination of a significant number "Of overseas engagements and the reciprocal hosting of international delegates and other University events.

Duties and Responsibilities

•    To provide dedicated administrative support to the Vice Chancellor, including developing and maintaining Vice Chancellor's office systems; supervision of Vice Chancellor's administrative staff; Vice Chancellor's diary management, travel arrangements, correspondence with external stakeholders and records keeping.
•    To promote and enhance the development of strategically important relationships by:
•    Acting as a first point of contact for high-profile internal and external stakeholders;
•    Arranging and supporting the smooth running of international events and visits, and;
•    Managing high-profile University events, including coordinating the itineraries of guests of the Vice-Chancellor.
•    To support internal and external meetings of the University where the Vice Chancellor is involved, including agenda preparation, circulation of papers and taking and proofreading of minutes.
•    To act as a liaison and coordination point in the day to day running of the University, providing cover for other members of the University: management team as required.
•    To write correspondences and letters on behalf of the Vice Chancellor; to write papers, reports and to prepare presentations of the highest quality for the Vice Chancellor.
•    To take minutes and produces reports for management meetings.
•     To review communications directed to the Vice Chancellor and where appropriate summarize for the Vice Chancellor, respond, initiate fact-finding and or refer the matter to the appropriate University officer.
•    To ensure that confidentiality of information is maintained in line with Government information protection requirements
•    To undertake any other duties as may be directed by the Vice Chancellor.

2.    Personal Secretary II-2 POSTS

 Required Qualification

Form IV certificate with credit passes in Kiswahili and English, plus 80w.p.m. shorthand and 50 w.p.m. typing speed, tabulation and manuscript stage Ill, secretarial and office procedure stage II. Must have sufficient knowledge in computers in at least word processing spreadsheet, database, e-mails and internet. (Must have computer certificate). Possession of Diploma in Secretarial studies is mandatory.

Duties and Responsibilities

•    Handles confidential matters.
•    Co-ordinates office needs and requirements.
•    Receives and distributes letters to respective officials.
•    Receives and directs visitors.
•    Keeps minutes/records of meetings.
•    Arranges and attends meetings where necessary and writes minutes.
•    Receives telephone calls and takes messages.
•    Handles travel arrangement on duty for senior officers and other . members of the unit/department.
•    Ensures expedient and accurate execution of duties.
•    Ensures that copies of letters are properly filed.
•    Types confidential letters minutes, circulars, certificates, charts : and stencils. :
•    Co-ordinates and supervises junior staff.
•    Ensures cleanliness of the office (s)
•    Takes proper care of work facilities and equipment.
•    Ensures that the respective office is punctually open.
•    Performs any other related duties as may be assigned by one's reporting officer.

3.    Driver II-2 posts

Required Qualification

Holder of Form IV Certificate with passes in Kiswahili and English plus a clean valid Driving License at appropriate class and working experience of at least three (3) years in a similar position and must also possess Trade Test Grade II in Motor Vehicle Mechanics and Driving Certificate Grade II from a recognized Institution such as NIT or VETA.

Duties and Responsibilities

•    Drives University vehicles safely.
•    Maintains logbooks.
•    Ensure safety of passenger (s) during driving
•    Ensures safe-keeping of the vehicle and its tools
•    Maintains disciplined behavior, smartness and proper conduct in rendering services.
•    Maintains cleanliness of the vehicle and tools
•    Reports promptly any defects or problems detected in the vehicle.
•    Undertakes minor repairs when necessary.
•    Performs messengerial duties such as dispatching documents/ letters and collecting mail
•    Checks validity of insurance, TLB, Plying fees etc and reports the same to the Transport Officer for necessary action.
•    Performs any other related duties as may be assigned by ones reporting officer.

4.    Human Resource Officer II-1 Post

Required Qualifications

•    Holder of a University Degree in Public Administration, Management, Human Resource Management. 4

Duties and Responsibilities

•    Collects, analyses, tabulates and maintains workforce records and statistics.
•    Oversees the day to day smooth running of the Registry and Typing pool.
•    Prepares and manages Staff Performance Appraisal Forms.
•    Assists in dealing with general disciplinary matters for junior staff.
•    Supervises office attendants, Secretaries and registry workforce.
•    Assists in dealing with human resource services as may be assigned by the respective Head of Department e.g compilation of personal particulars for new employees.
•    Allocates Human Resources, and communicates conditions of service to staff.
•    Assists in collecting, analyzing and presenting human resource statistics.
•    Assists in conducting periodic surveys to determine the prospective human resource demands and supply situation with respect to situations requiring the largest investment of time and money.
•    Assist in dealing with staff welfare matters such as sport and games, canteen, burial services and any other welfare matters required by members of staff.
•    Assists in conducting staff performance appraisal.
•    Assists in the provision of administrative services.
•    Performs any other duties assigned from time to time by one's reporting

5.    Health Laboratory Scientific Officer II-1Post

Required Qualifications

•    Holder of Bachelor degree/Advanced Diploma in Medical Laboratory Sciences in relevant field from a recognized Institution.

Duties and Responsibilities

•    Organizes practical for undergraduate students.
•    Participates in consultancy projects under close supervision of senior staff.
•    Assists in consultancy, research and development in health field.
•    Assists Academic staff in their research and development activities.
•    Plans and supervises maintenance of laboratory/ workshop equipments and facilities.
•    Prepares manuscripts, laboratory practical and other relevant needs.
•    Instructs undergraduate and postgraduate students during practical.
•    Supervises and orients Technicians and Artisans in their duties
•    Conducts on the job training for Technicians
•    Guides technicians in their daily activities
•    Develops and modifies student's experiments and experimental signs in consultation with Academic members of staff
•    Performs any other related duties as may be assigned by one's reporting officer

6.    Library Officer II-1Post

Required Qualifications

•    Holder of First Degree in Library Science, Librarianship, Information Technology or any other relevant field, plus ICT skills.

Duties and Responsibilities

•    Administers Library records
•    Administers reference and readers services
•    Undertakes bibliographical searching
•    Administers routine ordering and processing of books.
•    Compiles statistical data
•    Shelves books and periodicals.
•    Assists in identifying book/Journals requirements
•    Performs any other related duties as may be assigned by one's reporting officer

7.    Records Management Assistant II-1 Post

Required Qualifications

•    Holder of Diploma of Record Management and Form IV with at least two credit passes in English and Kiswahili or Form VI with two principal passes in Arts subjects and must have a credit in English at "O" Level.

Duties and Responsibilities

•    Receives correspondence and files sent by dispatch book.
•    Receives and distributes official publications according to standing Instructions
•    Sorts outgoing correspondence in accordance with instructions or established means of dispatch and checks date and signature
•    Records-all outgoing registered correspondence and telegrams
•    Maintains a register of files sent out to or received from Schools or departments.
•    Dispatches mail going straight to Schools/departments, mail clearing center and post office in time according to Instructions, classification and current dispatch timetables of mail clearing center and post Office
•    Assembles flimsy copies and files them for circulation to listed Officers
•    Re-addresses mail and answers questions on dispatch, postage and postal procedures and regulations.
•    Performs any other related duties as may be assigned by one's reporting officer
